AI offers opportunities but also risks. Here's how to make sure your AI implementation is secure - and what to look for in a provider.

AI and security: two sides of the same coin

The adoption of AI in business is growing fast. But with every new technology comes the same question: how safe is this? And we don't just mean "can the AI say something wrong" but especially "can using AI make my business vulnerable?"

The answer is nuanced. AI is not inherently safe or unsafe. It depends on how it's set up, where the data is processed, who has access and what measures the provider takes.

Data leaks via AI models

The biggest risk when using AI tools is that confidential business data ends up where it shouldn't. This can happen in several ways:

  • Training data: some AI providers use user input to improve their models. That means information you enter could indirectly become available to other users.
  • Logging: requests and responses are often logged for error analysis or improvement. Those logs can contain sensitive information.
  • Shared environments: if multiple companies share the same AI instance, there's a risk that data from one company leaks to another.

Employees sharing too much

A less technical but equally important risk: employees entering sensitive information into AI tools. Customer lists, financial data, strategic plans, contracts. Not out of bad intent, but out of convenience.

An employee who summarizes a contract via a public ChatGPT session is sharing that contract with an external party. Most employees aren't aware of this.

Prompt injection and manipulation

AI systems that process external input (emails, documents, customer messages) are vulnerable to so-called prompt injection. A malicious actor can place hidden instructions in a document that cause the AI to behave differently than intended.

Regardless of which provider you choose, there are measures you can take as a business.

1. Establish an AI policy

Define which data may and may not be entered into AI tools. Distinguish between:

  • Public information: product descriptions, published content - no risk
  • Internal information: processes, workflows - low risk
  • Confidential information: customer data, financials, contracts - only via approved tools
  • Secret information: passwords, API keys, strategic plans - never in AI tools

2. Use a private AI environment

Avoid using public AI tools (ChatGPT free tier, Claude.ai without business account) for business information. Choose a solution with a dedicated server where your data is not shared.

3. Train your employees

The weakest link in any security chain is people. Make sure employees know:

  • What information they may and may not share with AI
  • How to use the approved tools
  • How to recognize suspicious output (hallucinations, unexpected behavior)
  • Where to go with questions or reports

4. Review AI output before publication

Never blindly trust AI-generated content, especially for:

  • Legal texts
  • Financial reports
  • Client communication on sensitive topics
  • Technical documentation with safety instructions

Set up a review process where a human does the final check.

5. Monitor usage

Track who uses which AI tools, how often and for what purpose. Not to surveil, but to:

  • Flag unexpected usage
  • Adjust the AI policy based on practice
  • Support compliance reporting

  • Anomaly detection: AI can recognize patterns in network traffic or user behavior that indicate a breach or data leak

  • Transparency: users must know when they're communicating with an AI.
  • GDPR still applies: the AI Act doesn't replace the GDPR. All rules around personal data, data processing agreements and notification obligations remain in effect.
