Having your first AI agent built: step by step

From first intro call to working agent. What our implementation trajectory looks like and how to have an AI agent built that fits your processes.

Our implementation trajectory takes six steps: a free 30-minute intro call, a fixed-price proposal (OpenClaw installation from 1,495 euros, custom software from 1,950 euros), configuration of language, knowledge base, skills and behavioral rules, integration with your existing systems, activating channels like WhatsApp and Slack, and go-live with training. You do not need to be technical; we do the configuration. Lead time is 2 to 8 weeks, depending on scope.

Preparation

Before we start, it helps if you have two things clear for yourself: 1. Which task costs your team the most time right now? 2. Where is the biggest win if an AI agent took over that task?

You do not have to work everything out in advance. We do that together in the intake call. But with a concrete first goal in mind, the trajectory moves faster.

Step 1: Intro call

Book a free 30-minute call. We discuss your situation: which processes burden your team, where the opportunities are, and which AI solution fits your business. You get an honest picture of feasibility, timeline and cost.

Step 2: Fixed-price proposal

After the intro call you receive a proposal with concrete scope, planning and a fixed price. No open-ended hourly billing, no subscriptions. OpenClaw installation starts from 1,495 euros, custom software from 1,950 euros.

Step 3: Configuring your agent

Our engineers set up the agent for you. That covers:

  • Language and tone of voice - how the agent communicates in your style
  • Knowledge base - everything the agent needs to know about your business, products and processes
  • Skills - specific tasks the agent can perform (summarizing, emails, reports, document processing, etc.)
  • Behavioral rules - when the agent acts independently and when it escalates

You do not need to be technical for this. We do the configuration, you supply the context.

Step 4: Integration with your systems

The agent gets connections to the tools you already use. Think of your CRM, accounting software, email, knowledge base or specific custom systems. Every connection exists to let the agent do real work, not just answer questions.

Step 5: Activating channels

Your agent is reachable through the channels your team and customers already use:

  • WhatsApp - customers reach the agent from their phone
  • Slack or Teams - integration into your internal communication
  • Telegram - quick communication on the go
  • Web - via a chat interface on your own website

Every channel talks to the same agent. Context and memory are shared.

Step 6: Go-live and training

The agent goes live on your own infrastructure. We briefly train your team in directing, adjusting and monitoring it. During the first weeks we monitor along and optimize based on real usage.

After the first month

After a few weeks you see patterns: - Which tasks does the agent handle well? - Where does it still need adjustment? - Where can more time be saved?

We translate those insights into optimizations. Extra skills, sharper instructions, possibly new integrations with your systems.

Frequently asked questions

How long does an implementation trajectory take? Depending on scope, 2 to 8 weeks from kick-off to live. A basic agent on existing content is often done in two weeks. Building custom software around it takes longer.

Can I expand later? Yes. Most clients start with a limited scope and expand in phases. When the agent proves its value on task A, tackling task B is the logical next step.

What if the agent gets something wrong? For critical processes we build in human control. Edge cases go to an employee; the agent only completes them after approval. As the agent proves reliable, the threshold can come down.

Do I need to be technical? No. We do the technical implementation. You supply the domain knowledge and decide what the agent should be able to do. Your team uses the agent through familiar chat interfaces like WhatsApp or Slack.
